Minutes of Meeting

Bluewater Snowmobile Club/Bervie Clubhouse

October 20, 2014

Location: Bervie Clubhouse

Time: 8:00 – 10:30 PM

Present Monty Walden, Karl Heinish, Scott Stevens, Grant Hoover, Rob Noakes,

Bill Johnson, Steve Holtby, Dave Speedie. Chris Bell

1) Secretaries Report: Last meeting minutes were accepted as is.

2) Vice President Report: Monty gave those in attendance a status report on the Club house maintenance activities.

3) Treasurer’s Report: Bank Balance is $10,037.46

$5,326.00 of permit sales is dedicated to trail work.

There is a cheque to the Liquor Licence board for $450.00 that had not cleared as of meeting time.

Projected budget for 2014/15 season will be presented at the next meeting.

4) Trail Coordinators Report:

a)Grant Hoover picked up stakes, paint and supplies - will be getting them ready in the next two weeks.

b) Trail Boss list has been given to Ray K. – updated and sent out to the membership.

5) Land Owners Liaison Report:

  • The Penetangore Bridge Issues require follow-up.

Action: Brian Kelly

  • Culvert installation and re-trail on Rick McCarthur’s section requires coordination of Kempton construction and volunteers. It`s estimated this section will take 1/2 day of Kempton resources.

  • Moving the trail from the field into the bush on Murray Hodgins property requires coordination with Kempton construction. Will be done once crops are off.

Action: Brian Kelly – to get prices from Kempton for items B&C.

  • Work on the RR line from the 6th into Lucknow is being organized by Steve Colling & Scott McLynn – Anyone that could help with this project should contact Steve or Scott.

  • A complete list of land owners is required.

Action: Chris Bell

A completed Landowners Agreement form is required for every property we cross. At present there are only 54 forms on file of greater than 200 required.

Not only is it good business to have a form for every property involved – the club gets $7.00 per completed form submitted to District 9.

It was proposed – we get the trail Bosses to approach the land owners Re: completing the forms – while staking the trails this fall .

6) South Bruce Trail Groomers – Report:

- Club portion of permit sales has been increased to $12.00 per permit.

- 9000 hrs of grooming has been allocated to our trails which works out to 2 passes per week.

$25/km is allotted for grooming – we officially have 125 km in our area.

7) Inspection Coordinator – Report: No Update.

8) Clubhouse Maintenance:

Monty has created a list of items needing attention.

Follow-up required with Clayton Farrell re: Quote to install a new line/adapter/wiring and put underground to prevent freezing.

NOTE: A donation of 5 bundles of shingles (any colour) is required for the shed roof.

9) Old Business:

  • Till updates to be addressed - this is still to be done.

  • Permit sales – look into possibility of having 3 and 7 day permits available locally.

3 and 7 day passes are only available on-line.

  • Hurontel Land line – Proposal put fwd. to cancel the phone service.

  • Facebook and Website both require updates – in progress

  • OFSC to be contacted regarding an updateto have the Website map and Club name updated to add “Bervie Clubhouse” to our BSC name. Request has been submitted.

Karen Buratynski OFSC D-9 following up.

  • Volunteers to support running the Clubhouse – Ray to adopt the approach of calling individuals and asking for their support / time for a given date. It is significantly more effective than putting out a general call for volunteers.

We will be sharing the responsibility for making the calls between the 4 members of the executive rather than leaving it all with Ray – each of us will take a month – Dec. through March)

  • It was decided to continue with the plan for a Sled Draw in the fall of 2015. Forms for the Lottery are in the process of being completed and submitted.

  • Installation of a donation box (to help with expenses) was approved for the warming area of the clubhouse. In-progress

Action: Grant Hoover

  • The Club is looking for the names of Businesses in the area to be contacted for sponsorship. Fwd. Names to Ray Kikkert.

Action: All members of the BSC

  • A proposal to have maps of local municipalities created with legends for local sponsors and their locations. Dave Speedie has done some ground work toward this goal – see attached Appendix “B”. Authorization given to continue with the initiative.

  • Land Owner Dinner :

  • Chris Bell has agreed to continue in this role.

  • Wayne Burke to be contacted with total numbers (approx. 75)

  • Volunteers required for this Nov. 16th event.

  • It was decided there would be one seating for supper at 5pm.

  • Re-issue of the Liquor Licence is required. Process is ongoing – forms have been completed and submitted.

  • A water test is required.

  • Rick McAurther has offered a pizza oven at no cost to the club. It was agreed we should take him up on the offer.

Action: Complete

  • Suggestion made we should go with un-breaded wings. A savings of $15 per box could be realized. A single box of wings required for a test run.

p) Suggestion – we look into the possibility of locking in propane prices.

  • Rob Noakes made a proposal for selling oil and fuel products at/through the clubhouse. Executive to review and get back to Rob.

NEW BUSINESS:

Rob Noakes gave the meeting an update regarding the 2015 Vintage Sled races he’s organizing. This year the event will be held on the land directly behind the Kincardine Meridian Branch. Rob asked for support in getting the message out regarding the event and cooperation he needs from local snowmobile riders with respect to use of the property and staying off the track prior to race day. The event is planned for Jan. 24/25 rain date – 2 wks later.
